Terms & Conditions
Please read these Terms & Conditions carefully before confirming a booking with Bush Doctor Safaris. They explain the basis on which we plan and arrange your journey and outline the responsibilities of both the traveller and the parties involved in delivering your trip.
On this page
This draft intentionally avoids inserting specific deposit percentages, cancellation charges, currency rules or governing-law details that should be confirmed by Bush Doctor Safaris before publication.
These Terms & Conditions apply to bookings made with Bush Doctor Safaris. By asking us to confirm travel arrangements, the lead traveller confirms that they have read, understood and accepted these terms on behalf of everyone included in the booking.
Your final proposal, quotation, booking confirmation, invoice and any additional written conditions supplied for a specific journey should be read together with these Terms & Conditions. Where a supplier applies its own booking conditions, those terms may also apply to the relevant service.
Booking & Agreement
A booking is considered confirmed only once Bush Doctor Safaris has accepted the booking and any required payment or other confirmation requirement stated in your proposal or invoice has been received.
The lead traveller is responsible for ensuring that all names, dates, rooming arrangements, travel dates and other details shown on booking documents are correct. Please notify us promptly if anything needs to be amended.
The lead traveller must be authorised to act on behalf of all people included in the booking and is responsible for passing relevant information, documents and updates to the rest of the travelling party.
Pricing & Payment
Your quotation will set out the price of the agreed travel arrangements and indicate what is included and excluded. Prices may be quoted per person, per room, per vehicle or for the complete journey depending on the itinerary.
Payment deadlines and accepted payment methods will be stated in your booking documents. A booking may be treated as unconfirmed or cancelled if required payments are not received by the stated deadline.
Where unavoidable changes in government taxes, park fees, conservation fees, supplier charges, exchange rates or other external costs occur before travel, we will explain any resulting adjustment as clearly as possible before requesting additional payment.
Changes to Your Booking
If you wish to change your confirmed arrangements, please contact us as soon as possible. We will do our best to accommodate reasonable requests, but changes remain subject to availability and to the conditions of hotels, camps, airlines, transport providers, park authorities and other suppliers.
Any additional costs arising from a requested change will normally be payable by the traveller. Some services may be non-changeable or may attract supplier amendment charges.
Cancellations
Cancellation requests should be submitted in writing. The amount refundable, if any, will depend on the timing of the cancellation, payments already made to suppliers and the cancellation terms attached to the confirmed services.
Certain accommodation, flights, permits, special activities, private charters or peak-season arrangements may become non-refundable once booked.
Your confirmed proposal or invoice should clearly state the cancellation schedule that applies to your specific booking. That booking-specific schedule should be treated as part of these Terms & Conditions.
Passports, Visas & Travel Documents
Travellers are responsible for holding valid passports, visas, permits, certificates and any other documentation required for the countries included in the journey.
Entry requirements can change. Information provided by Bush Doctor Safaris is intended as general guidance only and should be checked against official government, embassy or immigration sources before travel.
Travel Insurance
Comprehensive travel insurance is strongly recommended for all travellers and may be required for certain journeys. Suitable cover should include, where applicable, trip cancellation or interruption, emergency medical treatment, medical evacuation, repatriation, lost or delayed baggage and activities included in your itinerary.
It is the traveller’s responsibility to understand the limits, exclusions and claims requirements of their chosen policy.
Health, Fitness & Accessibility
Safari travel can involve long road journeys, uneven terrain, small aircraft, remote areas, early starts, heat, dust and limited access to medical facilities.
Please tell us before booking about any medical condition, mobility requirement, allergy, dietary need or other circumstance that may affect your ability to participate safely or comfortably. We will make reasonable efforts to plan accordingly, but we cannot guarantee that every destination or supplier will be able to accommodate all needs.
Travellers should obtain appropriate professional medical advice about vaccinations, medication and health precautions relevant to their itinerary.
Safari & Wildlife Conditions
Wildlife is wild and sightings can never be guaranteed. Animal movements, weather, road conditions, park regulations and seasonal factors may affect routes, timings and viewing opportunities.
Guides and suppliers may alter a route, activity or timing where they consider it necessary for safety, conservation, weather, wildlife conditions or the overall quality of the experience.
Travellers must follow the instructions of professional guides, camp staff and relevant authorities while in wildlife areas.
Third-Party Suppliers
Bush Doctor Safaris may arrange services provided by independent third parties, including accommodation providers, airlines, charter operators, transfer companies, activity providers and local guides.
Those suppliers remain responsible for delivering their own services and may apply their own terms and conditions. We select and coordinate suppliers with care, but their operations may be affected by circumstances outside our direct control.
Events Beyond Our Control
Travel arrangements may occasionally be affected by events that neither Bush Doctor Safaris nor its suppliers could reasonably prevent or control. These can include severe weather, natural disasters, epidemics, government action, border closures, civil unrest, strikes, transport disruption, security events or other exceptional circumstances.
Where such an event affects your journey, we will make reasonable efforts to assist and to arrange suitable alternatives where possible. Additional costs that cannot be recovered from suppliers may remain the traveller’s responsibility, subject to applicable law and the terms of the confirmed booking.
Traveller Conduct
Travellers are expected to behave respectfully toward guides, staff, local communities, other guests, wildlife and the environment.
Bush Doctor Safaris or a supplier may refuse participation in an activity or terminate arrangements where a traveller’s conduct creates a safety risk, causes serious disruption, damages property, threatens wildlife or materially affects other people.
Liability
Bush Doctor Safaris will use reasonable care in planning and coordinating the services forming part of your journey. However, travel inherently involves risks and many services are performed by independent suppliers.
Nothing in these terms is intended to exclude or limit liability where doing so would be prohibited by applicable law. Any limitations that apply to a specific service may also be governed by the conditions of the supplier providing that service.
Problems & Complaints
If a problem arises during your journey, please raise it promptly with your guide, supplier or Bush Doctor Safaris so there is an opportunity to resolve it while you are travelling.
If the matter remains unresolved, please contact us in writing after the journey with relevant details and supporting information. Delaying notification may make it more difficult to investigate or provide an appropriate remedy.
Personal Information
We may need to collect and share relevant personal information in order to arrange your journey, including details required by accommodation providers, airlines, transport companies, authorities or activity suppliers.
Sensitive information should only be provided where necessary for your booking. Personal information will be handled in line with our applicable privacy practices and legal obligations.
Governing Terms & Severability
The governing law and dispute-resolution provisions applicable to Bush Doctor Safaris should be confirmed and inserted before this page is published.
If any part of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions should continue to apply to the fullest extent permitted by law.
We may update these Terms & Conditions from time to time. The version applicable to a booking will normally be the version supplied or available when the booking is confirmed, unless a later change is required by law.
